Privacy Statement

Disabled American Veterans Department of Virginia (the “Department,” “we,” “us,” or “our”) values your trust and is committed to protecting your privacy. This Virginia‑specific Privacy Policy describes how we collect, use, and share personal information in connection with our Department websites, social media, programs, and events, and explains the privacy rights available to Virginia residents under the Virginia Consumer Data Protection Act (“VCDPA”).

This Privacy Policy applies to information collected by or on behalf of DAV Department of Virginia through our Department‑branded websites, social media, and offline activities within the Commonwealth of Virginia.

Information we collect

Depending on how you interact with the Department, we may collect the following categories of personal information (“Personal Information”).

  • Contact information and preferences, such as your name, mailing address, email address, telephone number, and your preferred methods of communication.

  • Demographic information, such as your age or date of birth, general geographic location, and, in limited cases, information such as race or ethnicity or gender identity if you register for certain DAV‑related events.

  • Membership and service‑related information, including information about your status as a service‑connected disabled veteran and related information you provide in membership applications or requests for assistance.

  • Health information, in limited circumstances and with your express consent, when necessary to help you access benefits or services, such as when you request assistance related to VA claims.

  • Donation and financial information, such as the fact and amount of a donation and limited payment information needed to process your contribution or event registration (payment card details are typically processed by a third‑party processor and not stored by the Department).

  • Employment and volunteer information, such as your employment history, title, organization, geographic location, skills, and background information you submit if you apply to volunteer or provide professional services to the Department.

  • Social media information, such as social media identifiers and interests or opinions if you engage with the Department through our social media pages.

  • Internet and device information, including IP address, device identifiers, browser type, operating system, pages visited, time and date of visits, and similar information collected through cookies, pixel tags, and other technologies on Department websites or linked services.

  • Information about children, in limited circumstances and with parental or legal guardian consent, when individuals under 18 participate in Department‑affiliated events, volunteer activities, scholarship programs, or membership opportunities.

 

We do not intentionally collect certain sensitive categories of information, such as biometric identifiers, genetic data, or information regarding sexual orientation, except as described above and only with appropriate consent where required.

 

How we collect information

 

We and our service providers may collect Personal Information in a variety of ways.

  • Directly from you, when you:

    • Request assistance with VA‑related benefits or services through Department programs or volunteers

    • Become a member, renew membership, or participate in Department meetings, events, or programs

    • Make a donation to the Department through Department‑hosted events or campaigns

    • Register for or attend Department events, trainings, or social media initiatives

    • Volunteer with the Department or submit a volunteer or employment application

    • Communicate with us by mail, phone, email, or through our websites or social media pages.

  • Automatically, when you visit our websites or interact with our online content, through:

    • Cookies, web server logs, pixel tags, and similar technologies that collect information on how our sites are accessed and used

    • Analytics tools, which help us understand usage trends and improve our online services.​

  • From third parties, such as:

    • Other DAV entities and partners that support coordinated programs and outreach

    • Third‑party fundraising platforms, event registration providers, and data management partners that support Department‑related campaigns or events

    • Publicly available sources and address‑correction or data‑enhancement services used to maintain accurate contact information.

 

How we use your information

 

We and our service providers use Personal Information for purposes consistent with DAV’s mission and the Department’s activities in Virginia.

  • Mission delivery and support operations

    • Providing information about, and access to, Department programs, services, and events

    • Assisting veterans, families, and caregivers with information, referrals, and support.

  • Membership, events, and volunteer management

    • Administering membership, chapter activities, and Department governance

    • Managing event registrations, attendance, and related communications

    • Coordinating volunteer activities, including assignments and training.

  • Donations and fundraising

    • Processing donations and event‑related payments and providing receipts and acknowledgements

    • Conducting targeted fundraising and outreach communications consistent with applicable law; you may opt out of certain fundraising communications without affecting your eligibility for services.​

  • Communications and outreach

    • Sending newsletters, updates, advocacy information, and invitations to Department events, trainings, and campaigns

    • Operating Department websites, social media, and other digital outreach tools and measuring engagement.​

  • Analytics, security, and compliance

    • Analyzing data to understand the needs of veterans and their families, improve our programs, and enhance user experience

    • Maintaining and improving the security, performance, and functionality of our systems

    • Complying with legal obligations and managing risk, audits, and recordkeeping.

We may also use your information for other purposes that we disclose at the time of collection or with your consent.

 

How we share information

 

The Department does not sell your Personal Information and does not share Personal Information for third parties’ own direct marketing purposes. We may share Personal Information in the following limited circumstances, subject to confidentiality obligations:

  • DAV‑related and partner entities

    • With DAV‑related and partner organizations, as needed to coordinate programs, membership, fundraising, and mission‑related activities consistent with this Privacy Policy.

  • Third‑party service providers and mission collaborators

    • With vendors that provide services such as website hosting, IT support, data management, analytics, email or mail distribution, payment processing, event management, and similar operational support

    • With partner organizations that collaborate with the Department to deliver programs, events, and services, including co‑branded promotions that support DAV’s mission, subject to nondisclosure and use limitations.]​

  • Volunteers and internal leaders

    • With authorized Department officers, committee members, and volunteers who need limited Personal Information to perform their duties, for example to coordinate events, social media, or outreach.

  • Honor, memorial, or recognition purposes

    • With individuals in whose name you donate (for example, honor or memorial gifts) or immediate family members, as appropriate and consistent with your instructions.

  • Legal, safety, and other permitted disclosures

    • As we believe necessary or appropriate to comply with applicable laws, respond to lawful requests from public and government authorities, cooperate with law enforcement, protect our rights, privacy, safety, or property, or protect you or others.​

 

We may also share de‑identified or aggregate information that does not identify you, which we use for analysis and reporting.​

 

Cookies, analytics, and online tracking

 

Our websites and online services may use cookies, pixel tags, web beacons, log files, and similar technologies to collect Internet Activity Information such as IP address, device information, browser type, and pages visited. We use this information to operate, secure, and improve our websites, evaluate the effectiveness of our campaigns, and better understand how users engage with our content.

We may use third‑party analytics services such as Google Analytics, which use cookies and similar technologies to help us analyze usage and trends. These third parties may also collect information about your use of other websites, apps, and online services; their use of your information is governed by their own privacy policies.

Your browser may offer a “Do Not Track” (DNT) setting; our sites do not currently respond to DNT signals.

We use reasonable administrative, technical, and physical safeguards designed to protect Personal Information under our control. We retain Personal Information for as long as necessary to fulfill the purposes described in this Privacy Policy, to provide services, to comply with legal obligations, to resolve disputes, and to enforce our agreements. In some cases, we may retain limited information to document opt‑out or deletion requests or as otherwise required by law.

Your rights under Virginia law

If the VCDPA applies to our processing of your Personal Information, Virginia residents may have certain rights, including:

  • Right to know and data portability

    • To request confirmation of whether we process your Personal Information and to access and receive a copy of certain information we maintain about you, in a portable and usable format where technically feasible.

  • Right to correct

    • To request correction of inaccuracies in your Personal Information, taking into account the nature of the information and our purposes in processing it.

  • Right to delete

    • To request deletion of Personal Information you have provided or that we have otherwise obtained about you, subject to applicable exceptions (for example, where we must retain information to comply with law or maintain necessary records).

  • Right to opt out (if applicable)

    • If we engage in activities such as selling Personal Information, profiling in furtherance of decisions that produce legal or similarly significant effects, or processing for targeted advertising as defined by VCDPA, you would have the right to opt out of such processing. At this time, the Department does not sell your Personal Information or engage in targeted advertising or profiling that produces legal or similarly significant effects.

    • We will not discriminate against you for exercising your VCDPA rights, such as by denying services or providing a different level or quality of services, subject to applicable law.

How to exercise your privacy rights

To submit a request to access, correct, or delete your Personal Information or to exercise any other privacy rights available to you under Virginia law, you may contact the Department using one of the following:

In your request, please describe the nature of your request and the scope of the Personal Information at issue and provide enough information for us to reasonably verify your identity. If you submit a request on behalf of someone else, we may request additional information to confirm your authority to act for that individual.

We will confirm receipt of your request within the timeframes required by applicable law and respond within the periods permitted by VCDPA, which may be extended where allowed.

Right to appeal

​

If we decline to take action on your request, you may have the right to appeal our decision. Appeal requests may be submitted using the same Department contact methods listed above; please indicate that your request is an “appeal” of a prior privacy decision

Communication preferences

​

You may control certain communications you receive from the Department.

​

  • Email and SMS: Each marketing or fundraising email or SMS message we send will include an option to unsubscribe from similar communications in the future.

  • Fundraising solicitations: You may opt out of fundraising communications, and your decision will not affect your ability to receive services.

  • Other preferences and restrictions: To inform us of desired communication restrictions or to update your contact information, you may follow instructions provided in our communications or use the Department contact information above.

 

Even if you opt out of certain communications, we may still send you non‑marketing messages related to your relationship with us, such as confirmations, receipts, or important notices.

 

Third‑party sites and services

Department websites and communications may contain links to third‑party websites or services that are not controlled by the Department. This Privacy Policy does not apply to those third‑party sites, and we are not responsible for their privacy practices. We encourage you to review the privacy policies of any third‑party sites or services you visit.

 

Changes to this policy

​

We may update this Virginia‑specific Privacy Policy from time to time to reflect changes in our practices, services, or applicable law. When we do, we will revise the “Last Updated” date and may provide additional notice as required.
